ENROLLMENT/REGISTRATION
Our annual year begins in August and continues through the following July. This annual period is broken down into two sessions, a school-year session from August through May and then a summer session of June & July. Enrollment is month to month and no long term contract is required. All enrollment and fees are handled through the Customer Portal. Once a child is enrolled, he/she remains enrolled until proper withdrawal notice is given (EXCEPTION is when transition to a new session takes place, a new registration must occur). When transition to a new session occurs, VIP registration is offered to families enrolled at that time. Regular registration for all others takes place one week later. Refunds are not issued for children who unenroll prematurely prior to the end of a month. Fees are due IN FULL at the time of registration. Monthly tuition will be prorated ONLY upon the initial registration/enrollment if it takes place after the first class of the month.
WITHDRAWAL POLICY
The Customer Portal is the only acceptable means of withdrawing your child from classes. Login and request to withdraw by the 15th of the month. The official withdrawal will take place after the final class of that month. No refunds will be issued. Withdrawal requests after this date will not be honored. Families are responsible for the next month’s tuition should they fail to withdraw in a timely manner.
CLASSES
Preschool classes are divided by age while school age classes are divided by age group and ability level. These divisions will ensure that each student is with his/her appropriate peer group. Recreational classes meet once per week and Developmental League classes meet twice per week.
Class Schedule
A current class schedule is available on our Customer Portal and website. Visit the portal or contact the office to check the current availability. This class schedule may be adjusted as needed.
Student-Teacher Ratios
To ensure the safety of both the students and the teachers and to provide the most instruction time possible, a target student-teacher ratio will be maintained within all of our programs.
Age Determination Date
Preschool children’s age is determined as of the first day of the respective month (i.e. a child turns 4 on July 20 he/she is eligible for the 4-year old Frog class for the month of August, but for July the 3-year old Tadpole class is correct). For Kindergarten children and older, we follow the same September 1 age date as the school systems (i.e. whatever grade the child is at school, he/she is in the same peer age group with us).
New Student Placement
All new students will be placed in a beginner (Level 1) class. You may schedule an evaluation for advanced placement in the program by contacting the office to set up an appointment.

FEES
Annual Membership Fee (Recreational students)
This $40 per child NON-REFUNDABLE, NON-TRANSFERRABLE fee is due upon initial registration and it is renewed each year thereafter (if the child is enrolled) on the anniversary of the initial registration. Membership fees cover costs associated with matriculation and liability insurance. Our insurance is a secondary provider. In the unlikely event that your child is injured during class at Gymnastix Training Center, you would file with your personal insurance first, and Gymnastix secondary insurance would incur the balance. Secondary insurance claims are subject to a deductible paid by the customer.
Monthly Tuition
Monthly tuition is based upon the ACTUAL number of classes held within a calendar month. If there are five Mondays in a month, tuition for that month is the class price multiplied by five. Tuition can fluctuate from month to month though the respective price per class will remain the same. Customers will be emailed an invoice on the 20th of each month for the next month’s tuition. Tuition is due by the 23rd of each month for the next month’s tuition. If payment is not received by the 25th of the month, the child’s enrollment is canceled.
March, April & May Tuition
Our annual, year-end show called the Xtravaganza is held in mid-May. This event, similar to a recital, is for all recreational students (not Developmental League or Competitive Teams) to show what they have learned throughout their time at GTC. An Xtravaganza fee of $45 will be split into equal payments and added to March, April and May tuition respectively based upon the child’s enrollment. There is an opt-out deadline of April 15 if you choose to NOT have your child participate in the event. If you choose to opt-out, entry fees will be placed on your account as a credit. Refunds will not be issued.
Late Fee
A $25 fee per student is assessed on tuition not paid by the 23rd of each month for the next month’s tuition.
Discounts available on published fees
A sibling discount is applicable for the 2nd child or more in an immediate family. This discount applies to the lesser tuition amount and is available for tuition fees only. A multiple class discount applies to a single student taking an additional class in the same month.
Refund Policy
Refunds will only be granted as an account credit in the case of extenuating circumstances and at the discretion of management. A Refund Request must be emailed to the front desk for consideration. Refund requests will be acknowledged in a reasonable period of time and will be considered for Tuition Fees ONLY.
Acceptable forms of payment are cash, check, Echeck, Visa, MasterCard or Discover.
American Express is NOT accepted.
There is a $35.00 fee for all returned payments.
CALENDAR
Please refer to our monthly calendar on our website for all important dates. We are closed for all major holidays such as New Year’s Day, Memorial Day, July 4th, Labor Day, Thanksgiving Day, and Christmas Day.
ATTENDANCE/MAKE UP CLASS POLICY
Attending class weekly is very important to have a consistent and safe learning environment. As a courtesy, ONE make up is available per student per month for an EXCUSED ABSENCE ONLY. An excused absence is an illness with a doctor note, family life event such as a wedding, etc., or mandatory school function with a note. No other absences are eligible for a make up class. After a child misses class with an excused absence, contact the office with the appropriate documentation and a makeup class, if appropriate, will be scheduled. Make ups must take place within the same month as the excused absence. Unexcused absences are not eligible for a make up. We do not prorate tuition payments or give credits or refunds for missed classes.
RETURN TO ACTIVITY FROM INJURY/ILLNESS
Unfortunately, injuries happen. If a child has an injury/illness that is contagious or keeps him/her from school, the child should stay home from gymnastics as well. Once symptoms of an illness are gone and the child is no longer contagious, he/she may return to gymnastics. If a child has an injury that limits physical activity, he/she should not attend gymnastics until the injury is healed and clearance by a doctor is given. To ensure the child’s safety, a medical note of clearance is required in order for the child to be allowed to return to gymnastics.
STUDENT ARRIVAL AND PICK UP
Classes will start at the scheduled time. Do not drop off your child more than 15 minutes prior to the beginning of class. Upon arrival either wait in the lobby area or the upstairs observation area until your class is called. Students must be picked up promptly at the end of their activity. Children are not permitted to walk through the parking lot unattended. Parents must utilize the carpool lane or escort their child to and from the building. Children are not to be left alone. Gymnastix Training Center will not be responsible for children not enrolled in our program and/or not participating in a scheduled activity.
ATTIRE
Girls Gymnastics: Preferably a leotard, but t-shirt (tucked in) and athletic shorts (no jeans) will suffice. No socks or shoes. Tights are allowed as long as the feet are not covered.
Boys Gymnastics: T-shirt (tucked in) and athletic shorts (no jeans) are preferred. No socks or shoes.
Ninja: T-shirt (tucked in) along with athletic shorts (no jeans). No socks or shoes.
Tumbling: A leotard or t-shirt (tucked in) and athletic shorts (no jeans) are acceptable. Students being barefoot is preferred, but socks & tumbling shoes are allowed at the discretion of the coach.
Additional: Hair should always be pulled back out of the face and off the shoulders. No dangly jewelry (including earrings and bracelets), watches or clothing with zippers or buttons is allowed.
STUDENT EVALUATION PROCEDURE/ADVANCEMENT
Skill evaluation forms have been created for our Recreational classes that contain specific skills that progress from the beginner to more advanced levels. Three levels of accomplishment, “Introduced”, “Work In Progress”, or “Mastered” will be notated on the student’s online evaluation form tracking the student’s mastery of the listed skills. These evaluations are in the Customer Portal so parents can see their child’s progress at their convenience. Evaluations will take place the second week of January, March, July, September, and November. A student is eligible to advance to the next skill level once they have mastered the skills at a prior level. A notification card will be sent with a child to inform the parent/guardian of the advancement. An email will also be sent notifying of the advancement and instructions for the next steps.
FACILITY
GYM AREAS: The Main Gym, The Pond, The Camp/Gym ConneXion Room, and The Party Room. NO ONE is allowed in any of these areas except enrolled students during their appropriate class day and time. If you need to retrieve your child from class, speak with the office staff and they will get your child for you.
RESTROOMS: There are Girls’ and Boys’ facilities on the first floor and TWO Unisex Restrooms upstairs. Baby changing stations are available in all restrooms.
OBSERVATION AREAS: These areas are not monitored by GTC staff. Please be respectful of others who are observing classes. Children are not permitted to do gymnastics, run around or jump from the bleachers in this area. Observation areas are upstairs overlooking the main gym or outside of “the Pond” (our glass-enclosed Preschool room). Special accommodations can be made for those who are physically unable to go upstairs.
PARKING: There are over one hundred parking spaces available. All vehicles must be parked in an appropriately marked space. The covered drop-off and pick-up zone is to be used for ACTIVE LOADING OR UNLOADING only; no parking or standing is permitted. Please drive to the front of this zone if you are dropping off or picking up a student so multiple cars can utilize this area. Please follow all posted traffic signs. Any vehicle parked inappropriately or left in the parking lot for multiple days will be towed at the owner’s expense.
FITNESS CENTER: People 16 and older can use this area for a minimal fee. The room is not proctored and all workouts are at your own risk. Please limit workouts to no more than 30 minutes to allow others to share the room. NO CHILDREN UNDER 16 ARE ALLOWED IN THE ROOM UNDER ANY CIRCUMSTANCES. Please re-rack all weights, wipe down equipment used and leave the room as you found it with the lights off.
WASTE REMOVAL: Please place all trash and other waste in a garbage can. There are multiple trash receptacles located throughout the facility. Please refrain from throwing dirty diapers in the trash.
WI-FI: For your convenience, free public wi-fi (not guaranteed) is available in the facility. Login credentials are at the front desk.
PRIVATE LESSONS
Individual or semi-private (2 students) lessons are available to RECREATIONAL students who need extra attention on a specific skill. Lessons are available from select staff members for either thirty (30), forty-five (45) or sixty (60) minutes. Two tiers of pricing are offered based upon the experience level of the specific coach. Payment IN FULL is required at the time the appointment is scheduled. Please stop by the front office or visit the web site for more detailed information on private lessons. No shows or cancellations under 24 hours will forfeit all fees paid. Fees are not transferable. Team athletes should refer to the GTC Team Handbook regarding private lessons.
INCLEMENT WEATHER POLICY
We use the local school systems as a guide but we will make our own determination when closing our facility due to inclement weather. This information will be published on our website, sent via email, and posted to our social media accounts.
